Terms of Use

Last updated: 24 October 2026

These terms are for real estate investors and operators (landlords, short-let operators, property developers, property managers) and their team members. If you are a tenant paying rent through Roofteller, these are not your terms. Yours are at roofteller.com/tenant-terms.

1. Who we are, and what this agreement is

Roofteller is a brand of Tenalet Ltd, a company incorporated in the Federal Republic of Nigeria with registration number RC 8493617, whose registered office is at Plot 312 Olusegun Obasanjo Way, Wuye, Abuja, Federal Capital Territory, Nigeria. In this document, "Roofteller", "we", "us" and "our" mean Tenalet Ltd.

These Terms of Use ("Terms") form a binding agreement between you and us. They govern your use of the Roofteller website, web applications, mobile applications and APIs, and every service we make available through them (together, the "Platform").

They apply to you if you use Roofteller for a real estate business: as a landlord or other owner of property, a short-let or serviced-accommodation operator, a property developer, a property manager or agent, or a person invited onto someone else's portfolio. Where these Terms say "you", they mean both you personally and any organisation you use Roofteller on behalf of; if you accept these Terms for an organisation, you confirm you are authorised to bind it.

You accept these Terms when you create a Roofteller account or continue to use the Platform.

Some parts of the Platform have additional terms, set out in the Schedules at the end of this document. A Schedule applies to you only if you use the service it covers. Where a Schedule conflicts with the main body, the Schedule wins for that service.

Our Privacy Policy (roofteller.com/privacy) explains how we handle personal data. It is part of this agreement.

2. What Roofteller is, and what it is not

2.1 We are a technology company, not a bank

Roofteller is not a bank, a microfinance bank, a payment service provider, a deposit-taking institution, or any other kind of licensed financial institution. We hold no licence from the Central Bank of Nigeria.

Every regulated financial service you access through Roofteller (accounts, wallets, transfers, cards, interest) is provided by a licensed partner, not by us. We will identify the partner providing a service in the Platform before you use it.

We may add or change licensed partners as the Platform grows. Where we do, we will tell you in the Platform or by email before the change affects you. You do not need to agree to each new partner separately. But we will not move an existing account or balance of yours to a different partner without telling you first, and giving you a reasonable opportunity to withdraw your funds instead.

2.2 We never hold your money

At no point does Roofteller take custody, control or beneficial ownership of your funds. Money you receive, hold, send or earn interest on sits in accounts operated by a licensed partner. We have no client money account, we do not pool your balances with ours, and our operating funds are entirely separate. Roofteller provides the interface, the instruction, the record and the reconciliation, never the custody.

2.3 We do not give advice

Nothing on the Platform constitutes:

  • financial, investment or tax advice: reports, categorisations and analytics are informational only, and are not prepared to any accounting or auditing standard;
  • legal advice: templates and documents are starting points, not advice on your situation;
  • credit advice or a credit decision: we do not score, rank, approve or reject anyone;
  • valuation, estate agency or property management services; or
  • insurance advice or broking (see Schedule 6).

Every decision you make using Roofteller is yours.

2.4 We are not a party to your tenancies

Roofteller is not your tenant's landlord, guarantor, agent, escrow agent or debt collector. We are not a party to any tenancy agreement, and we do not guarantee that any rent will be paid. Disputes between you and a tenant are between you and the tenant. The same applies to short-stay bookings and to contracts for the sale or development of property: those are between you and your counterparty.

3. Eligibility and your account

3.1 Who can use Roofteller

You may use the Platform only if you are at least 18 years old, have capacity to enter into a binding contract, are resident or established in Nigeria, and are not subject to any sanctions or prohibition that would make providing services to you unlawful. We may refuse or withdraw access to anyone, and need not explain a refusal where doing so would prejudice a regulatory or fraud-prevention purpose.

Your "Roofteller account" is your registration with us: your sign-in, your profile, your portfolios and your access to the Platform. It is distinct from the money accounts provided through a licensed partner, which Schedule 1 covers. Where these Terms allow us to restrict, suspend or freeze "your account", that may apply to your Roofteller account, to a partner-provided account, or to both.

3.2 How you sign in

Roofteller is passwordless. You sign in with a one-time code sent to your email address, or through Google or Apple. On mobile you may additionally enable device biometrics to unlock the app and to authorise payments.

Your one-time codes and your access to your email protect your account and, through it, your money. Do not share codes with anyone, including anyone claiming to be from Roofteller. We will never ask you for a one-time code, a transaction PIN, or your card details. If you believe someone has gained access to your account, tell us immediately at [email protected].

3.3 Transaction authorisation

Payments out of your account require a second authorisation step: a transaction PIN, or a biometric authorisation bound to a device you have registered with us (a "registered device"). Repeated incorrect PIN entries will lock the feature temporarily.

Where a payment is authorised using your credentials, PIN or registered device, we and our partners are entitled to treat it as authorised by you. Tell us immediately if you lose a registered device so we can revoke it.

3.4 Team members and portfolios

A "portfolio" is the workspace that groups a set of properties, accounts and records. You can invite other people onto a portfolio and give them a role that limits what they can see and do. You are responsible for whom you invite, for the role you give them, and for what they do with that access. Remove people promptly when they no longer need access. Where a team member acts within the permissions you granted, their acts bind you.

3.5 Accurate information

You must give us accurate, current and complete information, and keep it up to date, particularly your email address and phone number, which we use for security notifications and for money movement. We may suspend a Roofteller account whose information we cannot verify.

3.6 Closing your account

You can close your Roofteller account at any time by contacting us. Before we can close it, you must withdraw any remaining balance, settle any amount you owe us, and resolve any open dispute or investigation. Closure does not end obligations that by their nature survive, and it does not override our duty to retain records (see section 6.5 and the Privacy Policy).

4. Identity verification (KYC and KYB)

Our partners are regulated, and the law requires them to know who their customers are. Before you can open an account, hold a balance or move money, you must complete identity verification: know-your-customer (KYC) checks for individuals, and know-your-business (KYB) checks for businesses.

For individuals this means providing your Bank Verification Number and National Identification Number, a government-issued identity document, and your residential address with proof of it. Depending on the partner, you may also be required to complete a facial liveness check; where one is required, it is carried out by the partner on the partner's own page, and Roofteller does not receive or store your facial image.

For businesses, where business accounts are available on the Platform, verification means providing your CAC registration details, tax identification number, registered address, business documents, and, for each director and significant shareholder, their identity details and verification. The availability of business accounts depends on our partners; we will tell you in the Platform whether you can open one.

You confirm that everything you submit is true, is yours or your business's to submit, and is not altered. Submitting false or altered identity documents is a criminal offence and we will report it.

Verification is not a formality and is not guaranteed to succeed. Your account may sit at a lower tier with lower limits until further verification completes. Partners and regulators set these tiers; we do not. We may re-verify you at any time, and must do so when a partner or regulator requires it; if you do not complete re-verification, we may restrict your account.

5. How you may use Roofteller

A Roofteller account is for your own real estate business: receiving rent, short-stay and other property income, paying property and project expenses, and keeping the records of both.

You must not use a Roofteller account to:

  • hold, receive or process money for or on behalf of anyone else;
  • operate a payment, remittance or money-transfer service;
  • run a savings scheme, cooperative, thrift or ajo/esusu on others' behalf, or take deposits;
  • run a business unrelated to your real estate portfolio; or
  • resell, share or sub-allocate your account numbers or virtual account numbers to third parties. They are issued for your use.

Rent collection is the one flow where money moves on someone else's initiative, and it is built so that the money never reaches us: a rent payment settles directly into the destination account you nominate, split at source between destinations where you configure a split. Roofteller does not receive tenant money and pay it on.

If your use of the Platform does not fit this section, contact us before proceeding. Use outside it is a breach of these Terms and grounds for immediate suspension.

6. Financial crime, sanctions and monitoring

6.1 The law we operate under

We and our partners are subject to Nigeria's financial-crime laws, including the Money Laundering (Prevention and Prohibition) Act 2022, the Terrorism (Prevention and Prohibition) Act 2022, the CBN AML/CFT/CPF Regulations 2022 and the CBN (Customer Due Diligence) Regulations 2023. Complying with them is not optional for us, and parts of them constrain what we can tell you.

6.2 Monitoring and information requests

Activity on your account is monitored. We and our partners may at any time ask you for the source of funds or source of wealth behind a balance or a transaction, for supporting documents, or for an explanation of activity on your account. You must respond within the period we specify. If you do not, we may restrict or suspend the account.

6.3 Blocks, freezes and reporting

We may delay, block, refuse or reverse a transaction, or freeze an account, where we or a partner suspect financial crime, or where a court, regulator or partner requires it, including a Post-No-Debit instruction (a court- or regulator-ordered block on withdrawals; see Schedule 1, section 4).

We and our partners are required to report suspicious activity to the Nigerian Financial Intelligence Unit and other authorities. The law may prohibit us from telling you that a report has been made, or why your account is restricted. Our silence in those circumstances is not a breach of these Terms.

6.4 Sanctions

You confirm that you are not, and are not acting for, a person subject to sanctions, and that funds you receive or send through the Platform are not the proceeds of crime and are not destined for a sanctioned person.

6.5 Records

Anti-money-laundering law requires us and our partners to retain identity and transaction records for at least five years after our relationship ends. We cannot delete those records on request during that period.

7. Fees

We will tell you what a service costs in the Platform before you use it. Fees may include subscription charges for paid plans, per-transaction charges for transfers and payouts, card fees, charges for identity or credit checks, and payment-processing fees charged by partners.

Some charges are set by our partners and passed through unchanged. Where a partner increases a pass-through charge, the increase takes effect when they apply it, and we will tell you as soon as we can. For fees we set, we will give you at least 30 days' notice before an increase takes effect; if you do not accept it, you may close your account before it applies.

We may deduct fees you owe from a balance you hold with a licensed partner through the Platform. If your balance is insufficient, you must pay us within 14 days of our invoice. Fees already incurred are not refundable, except where the law requires otherwise or the charge arose from our error.

8. Your content and your data

8.1 Your content stays yours

You keep ownership of everything you put into Roofteller: your records, documents, receipts, photographs, property details, tenant records and notes ("Your Content").

You give us a licence to host, store, copy, transmit, process, display and adapt Your Content only so far as we need to in order to run the Platform for you, to comply with the law, and to keep the service secure. This licence ends when you delete the content or close your account, except where we must retain records under section 6.5.

We do not sell Your Content. We do not use it to train third-party AI models, and our AI providers are contractually barred from doing so. We may create aggregated, de-identified statistics that cannot identify you, your tenants or your properties, and use those to operate and improve the service.

8.2 What you promise about Your Content

You confirm that you have the right to put Your Content into Roofteller, and that doing so does not infringe anyone's rights or break any law. This matters most for other people's personal data: if you enter a tenant's, applicant's, guarantor's or referee's details, you confirm you are entitled to do so.

8.3 Other people's personal data

When you handle another person's personal data through Roofteller, you must:

  • use it only to manage the tenancy, application or property it relates to, keep it confidential and secure, and delete or stop using it when your purpose has ended;
  • not use it for marketing or profiling, and not make letting decisions on grounds prohibited by law; and
  • comply with the Nigeria Data Protection Act 2023 and the General Application and Implementation Directive 2025 in your own right. We are not your data protection officer and we do not supervise your handling of tenant data.

8.4 Backups and export

Keep your own copies of records you need. Our backups exist for our own resilience and are not a records service for you; we do not promise to restore individual items you delete. You can export your data while your account is open, and for a reasonable period after closure.

9. Our intellectual property

9.1 What we own

The Platform is ours. All intellectual property in it (the software, source code, databases, design, interfaces, text, graphics, reports, templates and documentation) belongs to Tenalet Ltd or to our licensors. Nothing in these Terms transfers any of it to you. "Roofteller" is a registered trade mark of Tenalet Ltd. Our name, logo and brand assets are protected, and so are those of our partners.

9.2 What you may do

While your account is open and you comply with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the Platform for your own real estate business. That is a permission to use the service, not a sale of anything.

9.3 What you may not do

You must not: copy, republish, sell, rent, sub-licence or distribute any part of the Platform; use our name, logo or brand assets without written permission, except to state factually that you use Roofteller; register a name, domain or handle confusingly similar to ours; remove any proprietary notice; or use the Platform to build, train or benchmark a competing product.

9.4 Feedback

If you send us ideas or feedback, we may use them freely and without obligation: no payment, no attribution, no confidentiality. Do not send us anything confidential.

9.5 Your brand

Where you upload your own logo or brand assets so they appear on invoices, statements or communications we send on your behalf, you grant us permission to display them for that purpose only, and you confirm you are entitled to grant it.

10. Acceptable use

In addition to section 5, you must not use Roofteller to:

  • break any law, or facilitate anyone else breaking one;
  • impersonate anyone, or misrepresent your relationship to a property or a person;
  • obtain or use a person's credit or identity information without a proper basis and their consent;
  • discriminate unlawfully against a tenant or applicant, or harass, threaten or defraud anyone;
  • upload malware, probe or attack our systems, bypass authentication or rate limits, or access another user's data;
  • scrape or extract data from the Platform by automated means; or
  • reverse engineer or decompile our software, except where the law says you may.

If you do, we may suspend or close your account, reverse or refuse transactions, and report you to a regulator or law enforcement.

11. Third-party services

Roofteller depends on other companies for banking, payments, identity and credit verification, hosting, communications, analytics and AI. They are named in our Privacy Policy. In these Terms, a "partner" means any of them: the licensed partners described in section 2.1, and the other providers named in the Privacy Policy.

We choose partners with care, but they are independent businesses we do not control. We are not responsible for a partner's own acts, omissions, downtime, decisions or pricing, and their own terms may apply where you deal with them directly. Where a partner suspends, restricts or refuses a service, including declining to onboard you or freezing an account on a regulator's instruction, we may have to give effect to that, and may not be able to tell you why.

12. Availability, changes and beta features

We aim to keep Roofteller available and working, but we do not promise uninterrupted or error-free service. We may take the Platform down for maintenance, and we may change, add or remove features. If a change materially reduces a service you rely on, we will give you reasonable notice, unless the change is required for security, legal or partner-compliance reasons, in which case we may act immediately.

Features labelled beta, preview or early access are provided as-is, may change or be withdrawn, and should not be relied on for anything important.

13. Suspension, restriction and termination

We may suspend or restrict your account, a feature, or a transaction, immediately and without prior notice, if:

  • we or a partner suspect fraud, money laundering, sanctions exposure or other financial crime;
  • a court, regulator or partner requires it, including a Post-No-Debit instruction;
  • you breach these Terms, or we reasonably believe you are about to;
  • verification is incomplete, has expired, or cannot be completed;
  • there is a dispute over control of the account; or
  • continuing would expose us, a partner or another user to legal or security risk.

Where we can lawfully tell you why, we will (see section 6.3).

We may terminate this agreement on 30 days' notice, or immediately for the reasons above. You may terminate at any time under section 3.6. On termination: your access ends; you must withdraw your balance (subject to any restriction lawfully in place); amounts you owe fall due; we retain records as section 6.5 requires; and sections 2, 6, 8.2, 9, 14, 15, 16 and 17 survive.

14. Disclaimers

To the fullest extent the law allows, the Platform is provided "as is" and "as available", and we exclude all warranties, conditions and representations not expressly set out in these Terms, including implied warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement. In particular, we do not warrant that the Platform will be uninterrupted, secure or error-free; that any figure, report, verification result or AI output is accurate or complete; that any tenant will pay rent or any tenancy will proceed; or that any third-party service will perform.

Nothing in these Terms excludes liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be excluded under Nigerian law.

15. Limitation of liability

Subject to the final paragraph of section 14:

15.1 We are not liable for indirect, consequential, special, incidental or punitive loss; nor for loss of profit, revenue, business, goodwill, anticipated savings or opportunity; nor for loss or corruption of data, however caused.

15.2 We are not liable for loss arising from: your instruction being carried out as you gave it (including to the wrong beneficiary); your failure to keep credentials, codes or a registered device secure; a decision you made using information from the Platform; an act or omission of a partner, tenant or other third party; or events outside our reasonable control.

15.3 Our total liability to you for all claims arising out of or in connection with this agreement in any 12-month period is limited to the greater of (a) the total fees you paid us in the 12 months before the event giving rise to the claim, and (b) ₦100,000.

15.4 Each provision of this section operates separately; if any is held unenforceable, the others continue to apply.

15.5 You must bring any claim within 12 months of becoming aware of the circumstances giving rise to it.

16. Indemnity

You will indemnify us, and our directors, employees and partners, against any loss, liability, cost, claim or expense (including reasonable legal costs) arising from: your breach of these Terms; your misuse of the Platform; Your Content; your handling of another person's personal data; a dispute between you and a tenant, applicant, co-owner or team member; or your breach of any law. We will tell you promptly of any claim we seek to be indemnified for, and will not settle it without your consent, not to be unreasonably withheld.

17. Complaints and disputes

17.1 Talk to us first

If something goes wrong, contact us at [email protected]. We will acknowledge your complaint within 2 business days (days other than weekends and Nigerian public holidays) and aim to resolve it within 14 business days. If we need longer, we will tell you why and when to expect an answer.

17.2 Complaints about a partner-provided financial service

If your complaint concerns an account, transfer, card or other service provided by a licensed partner, we will pass it to that partner and help you follow it up. If you remain dissatisfied, you may escalate to the partner's own complaints channel and then to the Central Bank of Nigeria Consumer Protection Department. Nothing in this agreement removes that right.

17.3 Governing law and jurisdiction

These Terms are governed by the laws of the Federal Republic of Nigeria, and the courts of Lagos State have exclusive jurisdiction over any dispute arising out of or in connection with them. Either party may apply to a court for urgent interim relief.

18. General

Changes to these Terms. We may change these Terms. For a material change we will give you at least 30 days' notice by email or in the Platform, and it takes effect on the date stated. Non-material changes take effect when posted. If you do not accept a change, close your account before it takes effect; continuing to use Roofteller means you accept it.

Notices. We will contact you at the email address on your account or through the Platform. Notices to us go to [email protected].

Electronic communications. You consent to receive contracts, notices, disclosures and records electronically, and agree that an electronic record or signature satisfies any legal requirement for writing or signature.

Assignment. You may not transfer your rights or obligations without our written consent. We may transfer ours to a group company or a buyer of our business, on notice, provided your rights are not materially prejudiced.

Force majeure. Neither party is liable for failure caused by events beyond its reasonable control, including network, banking-system or power failures, industrial action, civil unrest, regulatory intervention and natural events.

Severability. If a provision is unenforceable, it is modified to the minimum extent needed to make it enforceable, or severed; the rest continues.

Waiver. Not enforcing a right does not waive it.

No partnership. Nothing here creates a partnership, joint venture, employment or agency relationship between us.

Third parties. Except for our licensed partners and group companies (who may rely on the disclaimers, limitations and indemnities), no one other than you and us has rights under this agreement.

Entire agreement. These Terms, the Schedules, the Privacy Policy, and any product terms we point you to, are the whole agreement between us on their subject matter, and replace any earlier version, including the Terms of Use dated January 2025.

Schedule 1: Accounts, wallets and payments

1. What you are getting: your Operating and Interest accounts

Through a licensed partner you can be provided with one or more accounts, each with an account number, and with virtual account numbers you can allocate to a property, a unit or a purpose.

The Platform presents these balances as an Operating account and, where offered, an Interest account. These are Roofteller product names for balances held with the licensed partner. They are not bank accounts issued by Roofteller, and the partner's own product terms apply to them underneath these Terms.

As at the date of these Terms, accounts and interest-earning balances are provided by PocketApp Global Limited (operating with Piggyvest Business), licensed by the Central Bank of Nigeria. Section 2.1 applies if we change this partner: we will tell you first, and we will not move an existing balance without giving you the opportunity to withdraw instead.

Depending on the partner and the product, an account may be held in your name or in a structure the partner operates on your behalf; we will tell you which before you open it. Your Roofteller ledger is our record of your money. Where our ledger and the partner's record differ, the partner's record is authoritative, and we will correct ours.

2. Paying money in

Money reaches your account by transfer to your account number or a virtual account number, by tenant rent payment, or by a partner-supported method. Credits usually appear as soon as the partner notifies us, usually within 15 seconds, but timing depends on the banking system, not on us.

If money is credited to you in error, whether by us, a partner, a bank or a sender, we may reverse it without notice, and you must not spend it. If you have spent it, you must repay it.

3. Sending money out

A payment instruction is irrevocable once submitted. Nigeria's instant payment system settles in real time; once a transfer leaves, it cannot be recalled as of right.

You are responsible for the beneficiary details you enter. We will show you the name the receiving bank returns for the account number before you confirm. Check it. If you send money to the wrong account, we will make reasonable efforts to help you request a recall, but neither we nor the partner can compel the receiving bank or the recipient to return it, and we are not liable for the loss.

We may refuse, delay or reverse a payment if: your balance or limit is insufficient; the authorisation step fails; we or a partner suspect fraud or financial crime; a regulator, court or partner requires it; the beneficiary details fail validation; or it would breach these Terms or the law.

4. Limits, restrictions and freezes

Your account is subject to limits set by the partner and by regulation, which vary with your verification tier. Limits may be reduced automatically in circumstances the regulator requires, for example on a newly opened account or after a sign-in from a new device, and lifted only after additional authentication.

A court, regulator or partner may place a Post-No-Debit or similar restriction on your account. We must give effect to it, we cannot lift it, and we may be prohibited from telling you why it is there.

5. Statements, errors and disputes

Your transaction history is available in the Platform. Check it regularly. Tell us within 30 days of a transaction appearing if you think it is wrong or unauthorised, and we will investigate with the partner. Reporting late may limit what can be recovered.

6. The Interest account

Where the Platform offers an Interest account:

  • Interest is paid by the partner, not by Roofteller, and is credited at the frequency stated in the Platform.
  • The rate is variable and can change without notice. The rate shown in the Platform at any time is the rate that applies.
  • The rate credited to you may be lower than the rate the partner pays Roofteller in respect of balances held on the Platform, and Roofteller may retain the difference. Roofteller may also earn other revenue from balances held with partners, and the rate available to you may differ between plans.
  • Withdrawals are limited. You can make up to the number of withdrawals a month shown in the Platform from your Interest account (currently four). A withdrawal is any payment or transfer out of the account, including a move to another of your Roofteller accounts. Once you reach the limit, withdrawals pause until the first day of the next month. Deposits are not affected. The Platform shows how many withdrawals you have made this month. The partner's own conditions may also apply.
  • Interest is not guaranteed, is not a return on an investment, and your Interest account is not a security or an investment product.
  • Withholding tax is deducted from interest at source by the partner, as Nigerian tax law requires. Beyond that, you are responsible for your own taxes; we do not account for tax on your behalf.

Schedule 2: Cards

1. Who issues the card

Roofteller debit cards are issued by a licensed partner, not by Roofteller. As at the date of these Terms, cards are issued by SafeHaven MFB, licensed by the Central Bank of Nigeria. The card is subject to the issuer's own cardholder terms, which you will be given when you apply, and which prevail over this Schedule to the extent of any conflict.

2. Using the card

The card draws on the linked account balance. You may use it at ATMs and point-of-sale terminals, and online where the issuer permits. You must keep the card and its PIN secure, not let anyone else use it, and use it only for lawful transactions in the account holder's own business.

3. Loss, theft and misuse

Tell us immediately at [email protected] if the card is lost or stolen, or if you see a transaction you did not make. We will block it. You may be liable for transactions before you report it, and for all transactions if you acted fraudulently or with gross negligence, including by sharing your PIN.

4. Blocking, fees and disputes

We or the issuer may block, suspend or cancel a card at any time for security, regulatory or compliance reasons, or if the linked account is restricted. Card fees are shown before you apply. Disputed card transactions follow the issuer's and the card scheme's chargeback rules and timescales, which we do not control.

Schedule 3: Rent collection

1. What we do and do not do

Roofteller lets you set up rent for a property or unit, generate invoices, invite a tenant to pay, and record payment against your ledger.

We are not your agent, and we do not guarantee rent. We do not chase arrears, serve notices, negotiate, or act as an escrow agent. If a tenant does not pay, that is a matter between you and the tenant.

2. Setting rent up

You are responsible for the accuracy of everything you configure: the amount, the frequency, the due dates, the charges, the unit, and the tenant's details. Invoices go out as you configured them. You confirm that you are entitled to collect the rent you set up, and that the amounts and charges are lawful and consistent with the tenancy agreement and the tenancy law of the state where the property is.

3. Inviting tenants

When you invite a tenant, we contact them using the details you give us and share what they need to pay: your name or your portfolio's name, the property or unit, the amount, and the due date. You confirm you are entitled to give us their contact details.

4. Payment, fees and settlement

Tenants pay through a payment flow operated by a licensed payment partner, and payment settles directly into the destination account(s) you nominate. A processing fee may be added to the amount a tenant pays; where it is, both you and the tenant see it before payment.

Settlement happens on the timescale shown in the Platform and depends on the partner and the banking system; we do not guarantee settlement timing. Payments show in your ledger when the partner confirms them. A payment can be reversed if the underlying transaction is reversed, disputed or found to be fraudulent; where that happens, the amount may be recovered from balances you hold through the Platform, or you must repay it.

5. Refunds and deposits

Refunds to a tenant are your decision and your responsibility. Where you hold a security or caution deposit, you are responsible for holding, applying and returning it in accordance with the tenancy agreement and applicable law. Roofteller does not hold deposits in trust or in escrow, and marking a balance as a deposit in the Platform is a bookkeeping label, not a legal segregation.

Schedule 4: Bookkeeping, receipts and AI features

1. What the bookkeeping tools are

Roofteller keeps a ledger of your property finances, imports and categorises transactions, matches receipts, and produces reports. These are recordkeeping tools, not accounting or tax services. No accountant reviews your books. Reports are not prepared to any accounting standard, are not audited, and are not statutory accounts or tax returns.

You are responsible for the accuracy and completeness of your records, for reviewing what the Platform produces, and for anything you file with a tax or regulatory authority.

2. AI features

Where enabled, Roofteller uses artificial intelligence to suggest a category for a transaction (a suggestion only, which does not change your books until you accept it) and to read an uploaded receipt, extract its details, and propose a matching transaction.

You should know that:

  • AI outputs can be wrong, sometimes confidently so. They are provided as-is, with no warranty of accuracy, and you must check them before relying on them.
  • These features send data to a third-party AI provider. Our Privacy Policy sets out what each one sends.
  • No solely automated decision with a legal or similarly significant effect is made about anyone by these features.
  • We do not use your data to train third-party AI models (see section 8.1).

Schedule 5: Tenant screening

Screening is available where we enable it and where our screening partner supports it.

You create a screening request and invite an applicant. The applicant provides their own information and gives their own consent, directly to us. Where they consent, checks may include identity verification, income verification, and a credit report from a licensed credit bureau. No credit check runs without the applicant's consent, and no check runs until any fee (payable by you or, if you elect, by the applicant) is paid.

Roofteller does not score, rank, approve or reject applicants, and does not recommend a decision. We pass on what the partner and bureau return. The letting decision is yours alone.

You must use screening only for a genuine letting decision; not discriminate unlawfully; keep reports confidential and use them for no other application or purpose; and not retain a report longer than you need it. Where you decline an applicant wholly or partly because of information in a report, you must handle that in accordance with applicable law.

Reports come from third parties; we do not verify their accuracy and are not responsible for errors in them; an applicant who disputes a report should take it up with the bureau. We delete screening reports and applications 30 days after they are made available to you. Download anything you need within that window.

Schedule 6: Insurance referrals

Where Roofteller shows insurance products or lets you request a quote, we act only as an introducer. We are not an insurer, an insurance broker or an insurance agent, and we are not licensed by the National Insurance Commission (NAICOM). We pass your enquiry to an insurance partner; brokerage services are provided by a broker licensed and regulated by NAICOM. The broker, not Roofteller, is the regulated party in that chain.

Any policy is a contract between you and the insurer, arranged by the broker, on their terms. Roofteller does not advise on cover, quote or set premiums, collect premiums, administer a policy, or handle a claim, and we are not liable for the product or the outcome of a claim. When you request a quote we send the partner what you put in the quote form, and nothing else; our Privacy Policy explains this. We may receive a fee or commission for an introduction.
